Ensure Services Ltd (“we”, “us”, “our”) is a company registered in England and Wales. We provide property-related services across Scotland, including but not limited to inventories, check-in/check-out inspections, interim inspections, EPCs, legionella risk assessments, portable appliance testing, and professional property photography.
2. Booking & Instructions
Bookings may be made:
• Directly via our website
• Through our online booking system or client portal
• Via landlords, letting agents, or property managers
Submitting a booking request does not guarantee an appointment until we confirm acceptance.
By booking our services, you confirm that:
• You have authority to instruct us
• You are authorised to grant access to the property
• All information provided is accurate and complete
We are not responsible for delays or issues arising from incorrect or incomplete information.
3. Use of Online Systems
We may use third-party service management software to:
• Schedule appointments
• Issue quotes, reports, and invoices
• Send communications and reminders
• Process payments
• Provide access to a client portal (if enabled)
Where login access is provided, you are responsible for maintaining the confidentiality of your account details.
Electronic records, confirmations, and communications issued via these systems are considered valid business records.
4. Access to the Property
You are responsible for ensuring access at the
agreed date and time.
If:
• Access is not available
• Keys are not provided
• Instructions are incorrect
The appointment may be cancelled and charged in accordance with our cancellation policy.
5. Reports & Deliverables
Reports reflect the condition of the property at the time of inspection only.
Reports are factual records and do not constitute legal or professional advice.
Photographs:
• Form part of the report
• Document visible condition only
• Do not cover hidden, obstructed, or inaccessible areas
6. Fees, Invoices & Online Payments
Fees are agreed at the time of booking or quotation.
We may issue invoices electronically via our service platform.
Where online payments are offered:
• Payments are processed via third-party payment providers
• We do not store full card details
• Payment terms are stated on the invoice
Late payments may result in reminders, administrative charges, or suspension of services.
7. Cancellations & Changes
Cancellations or changes must be made at least 48 hours before the scheduled appointment.
Changes or cancellations made within 48 hours may be charged in full.
Where access is not available at the time of attendance, the appointment will be treated as a late cancellation.
8. Electronic Communications
By instructing our services, you agree that we may contact you via:
• SMS
• Phone
For appointment reminders, service updates, reports, invoices, and related communications.
9. Liability
We will carry out services with reasonable skill and care.
Our liability is limited to the value of the service provided, except where liability cannot legally be limited.
We are not responsible for:
• Hidden defects
• Inaccessible areas
• Issues not reasonably visible at inspection
10. Third-Party Reliance
Reports are prepared for the instructing party only unless otherwise agreed in writing. We accept no responsibility for reliance by third parties without prior written consent.
11. Complaints
Complaints must be raised within a reasonable timeframe after receipt of the report to allow investigation.
12. Governing Law
These Terms are governed by the laws of England and Wales. Services are delivered in Scotland, and nothing in these terms affects statutory rights under applicable UK law.
